Who this is between
Kapsel is a product of Rooikat Systems. These terms are between Rooikat Systems and the salon that subscribes to Kapsel. “You” means the salon.
What you get
A website for your salon, online booking on it, a dashboard for you and your team, and messages to your clients about their bookings. We set it up with you: your services, prices, team, opening hours, client list and the bookings already in your diary.
What it costs
- R1,000 per salon per month, month to month. No contract and no notice period.
- The first charge is on the day your salon goes live. Setup before that is not billed.
- Pay by card through PayFast, or by EFT against a monthly invoice.
- We email you a numbered invoice every month for your own books.
- If a payment fails, everything keeps working for seven days while you sort it out. We tell you on the day it fails and remind you twice. On the eighth day online booking pauses — your website stays up, your diary is untouched, and every booking and reminder already in the system carries on. Paying turns online booking back on immediately.
- If we have not been paid thirty days after booking pauses, we treat the subscription as cancelled.
Our 30-day guarantee
If Kapsel is not working for you in your first month, tell us and we refund that month. We would rather refund you than have you paying for something you do not use.
Cancelling
You can cancel any month, from your dashboard or by telling us. The service runs to the end of the month you have paid for. Before it stops, ask us for your client list and booking history and we will send it to you. We keep your data for thirty days after that in case you come back, then delete it permanently.
A free yoursalon.kapsel.co.za address stops working when you cancel. A domain of your own stays registered in your name and you can point it anywhere.
Your clients’ information
Your clients’ names, numbers, bookings and the notes you write about them belong to you, not to us. We hold them so that Kapsel works.
- We never sell or share them. Not to anyone, ever.
- We only message your clients on your behalf — confirmations, reminders and changes to their bookings. Nothing else unless you ask us and they agree.
- You can ask for your client list and booking history at any time, including after you cancel, and we will send it.
- If one of your clients asks to be removed, we remove them.
The notes you write about clients
The private notes on a client’s record are for running the service — a colour formula, how they like their fringe, an allergy. Please keep them to that.
An allergy or a scalp condition is health information, and South African law treats it more carefully than a phone number. Kapsel never puts a note into a message to a client, never shows it to Rooikat staff in the platform view, and never includes it in anything except an export to you. Please do not write anything in there you would not want the client to read.
What you are responsible for
- That the client list you give us to import is your own, and that those clients are your clients.
- Keeping your own sign-in to yourself. Anyone with it can see every client you have.
- Honouring the bookings your clients make. Kapsel shows them times you said you were free.
- Your prices, your services and what you tell clients in your salon policy.
What we are responsible for
- Keeping Kapsel running, and fixing it when it is not.
- Keeping your data backed up and keeping it to ourselves.
- Telling you when something goes wrong that affects your clients.
We cannot promise the service is never interrupted. If something we do loses you a booking, tell us and we will make it right — but our liability is limited to what you have paid us in the previous three months. That is the ordinary limit for a R1,000-a-month service and it is deliberately stated plainly rather than buried.
Messages to your clients
Kapsel sends your clients WhatsApp, SMS or email about their own bookings, as your salon. Fair use is included in the subscription. If a salon sends far more than everyone else we will talk to you about it before anything changes — we will not switch your messages off without telling you.
Changes to these terms
If we change anything that matters, we will email you at least thirty days before it takes effect. If you do not like the change, cancel — there is no notice period.
South African law
These terms are governed by South African law. We would much rather sort anything out by talking to you.
