If you booked an appointment at a salon and it uses Kapsel, this explains what we hold about you and how to have it removed.
The short version
- Your salon holds your details, not us. Kapsel is the system your salon uses. We look after it for them.
- We never sell or share your information. Not to anyone, ever.
- We only message you about your own bookings. No advertising.
- You can have your details removed. Ask the salon, or ask us and we will pass it on.
What is kept about you
Only what is needed to book you in:
- Your name and your mobile number.
- Your email address, if you gave one. You never have to.
- Whether you said yes to WhatsApp.
- Your bookings: what, when, with whom, and what it cost.
- If you booked for somebody else, that person’s first name.
- Notes your salon writes about your service — a colour formula, how you like it, an allergy. Those are the salon’s own notes. They are never put into a message to you and Rooikat staff cannot read them.
Not kept: your ID number, your date of birth, your home address, or your card details. Kapsel never asks for any of them and you pay the salon directly.
Messages you will get
From your salon, through Kapsel: a confirmation when you book, a reminder the day before, and a message if your appointment is moved or cancelled. If you book for the first time by a number we do not know, a one-time code to prove the number is yours.
That is all. No marketing, no newsletters, and nothing from any other salon.
Who can see your details
- Your salon. It is their client list.
- Rooikat Systems staff, when a salon asks us for help or during setup. We keep a record of every time we open a salon’s dashboard. We cannot read the salon’s private notes about you in that view.
- The companies that deliver the messages — WhatsApp, the SMS network and the email provider — which need your number or address to deliver them, and nothing else.
- Nobody else.
How long it is kept
While you are a client of the salon. If the salon leaves Kapsel we keep everything for thirty days in case they come back, then delete it permanently. If you ask to be removed we do it straight away — see below.
Having your details removed
Ask your salon. They can do it from their dashboard and it takes a moment: your name, number, email and the salon’s notes about you are cleared, and any reminder still waiting to go to you is cancelled.
The booking records stay, with nothing in them that identifies you, so the salon’s own totals still add up. There is nothing in them that could be traced back to you.
You can also ask us. Because the salon owns the list, we pass the request on to them and then confirm to you that it is done.
Your rights under South African law
Under POPIA you may ask what is held about you, ask for it to be corrected, ask for it to be deleted, and complain to the Information Regulator if you are not happy with how it was handled. Ask your salon first, or use the contact form and we will come back to you.
